Personal Assistant

The personal assistant (PA) will work closely with the two Directors to provide administrative support . The PA help the Directors make the best use of their time by dealing with secretarial and administrative tasks. As well as assisting to compile Tenders and Quotations for the Crushing , Screening and process Division and any other Company quotes requested to handle .
PA must learn and understand and have an extensive knowledge of the organization. They will need to know who key personal are (both external and internal) and understand the organization s aims and objectives.
PA will be a trusted employee that will handle all work efficiently in the absence of the Directors. Discretion and confidentiality are therefore essential attributes for a successful PA.

Typical work activities
PA will act as the Directors first point of the contact with people from both inside and outside the organization. Typical work activities include:
• Screening telephone calls, enquiries and requests, and handling them when appropriate ;
• Meeting and greeting visitors at all levels of seniority ;
• Organizing and maintaining diaries and making appointment;
• Dealing with incoming email, faxes and post, often corresponding on behalf of the manager;
• Taking dictation and minutes;
• Carrying out background research and presenting findings;
• Producing document s, briefing papers , reports and presentations ;
• Organizing and attending meeting and ensuring their manager is well prepared for meetings;
• Liaising with clients suppliers and other stuff;
• Deputising for the manager , making decisions, and delegating work to others in the manager’s absence ;
• Devising and maintaining office systems , including data management ,filling etc…
• Arranging travel and accommodation and , occasionally , traveling with the director to take notes or dictation at meeting or to provide general assistance during presentations;

In addition to assisting the Directors , the PA will also have her own personal workload and responsibilities. The score of the PA ‘s role can be extensive and additional duties will include:
• Carrying out specific project and research ;
• Assist the Directors or in their absence the Management in preparing Project Tenders and Quotations including costing
• Responsibility for accounts and budgets ;
• Taking ine some of the manager’s responsibilities and working more closely with management ;
• Being involved in decision – making processes.
